A useful first conversation

## Answer. Connect. Take a message.

Your receptionist works with the knowledge and call routes you choose.

### Answer from your information

Provide your hours, service area, policies, and service descriptions. Upload PDF, Word, text, or Markdown documents and review the extracted information before publishing.

### Help callers find their next step

Explain how your business works, from requesting an estimate to arranging a visit. Connect your Google Calendar to let it book appointments, or keep bookings with the team that confirms them.

### Connect to your people

Callers can ask for a person in their own words, by name or department. Add named staff and departments as destinations, and choose the human handoff and fallback routes, including what happens when your team cannot answer.

### Take messages and appointments

When the person a caller wants cannot take the call, or the caller asks to leave a message, the receptionist takes their name, callback number, and what it is about. With your Google Calendar connected it books appointments; otherwise it notes the service and preferred times, and tells the caller your team will confirm. The message arrives as a voicemail in the recipient’s mailbox with a text summary, and urgent messages are marked urgent.

From your business to your phone line

## Start with the questions you answer every day.

Gather the service descriptions, opening times, and policies you already share with customers. Make them clear enough for a new member of your team to use.

In the Control panel, create your receptionist, add the business information and destinations, then review and publish. The [AI answering guide](https://rinzo.ai/docs/ai-answering.md) walks through each step. Use SmartPBX’s AI answering settings or your call routing to decide where it answers.

### Make a few calls before going live

- Ask a familiar question about your services.
- Ask something your documents do not answer.
- Request a configured person or department.
- Check the route when that person does not answer, and leave a message.
- Try your after-hours arrangement.

Update the information and publish again when your business changes.

Built around your work

## Different businesses.
Different conversations.

A plumbing customer, a prospective legal client, and a hotel guest each need something different. Explore examples built around the calls your business receives.

Part of your business phone system

## AI answering.
A team behind it.

Rinzo brings the receptionist, extensions, ring groups, business hours, mobile forwarding, and voicemail together in one account. When nobody can take a call, the receptionist takes a message, and it arrives in your voicemail with a text summary.

### Included in your plan

The AI receptionist is part of your plan, with no monthly fee: you pay $0.10 a minute while it is talking with a caller, in 6-second increments, from your prepaid credit. Your free month includes 30 AI minutes. The call it answers is an inbound call like any other: it uses your included minutes, then costs $0.02 a minute. You choose where it answers in your call routing.

The whole phone system, a business number, and 100 minutes a month. No per-user fees.

How it works

## Common questions.

Rinzo is in early access. [Check availability](https://rinzo.ai/availability.md) and [read our privacy terms](https://rinzo.ai/privacy.md) before setting up your service.

### What can the AI Receptionist answer?

It uses the business facts, instructions, and selected documents you provide. Start with service descriptions, hours, locations, and policies. Review the source text and test representative calls before relying on an answer.

### Can a caller reach a person?

Yes. Callers can ask for a person in their own words, by name or department. Add people and departments as transfer destinations, and choose a route for human requests and fallback. Destinations can use existing people, ring groups, callflows, voicemail, or an outside number. Test the no-answer path as well as the transfer.

### Can it take a message?

Yes. When the person a caller wants cannot take the call, or the caller asks to leave a message, it takes their name, callback number, and what the call is about. The message arrives as a voicemail in that person’s mailbox, with a text summary and an email if the mailbox has voicemail-to-email on. Urgent messages are marked urgent.

### Can it book appointments or check orders?

It books appointments when you connect your Google Calendar and set a booking policy: it offers callers free times and books the appointment, and says so only once the calendar has confirmed it. Without a calendar, it takes the request as a message, with the service and the times that suit the caller, and tells them your team will confirm. It can send each call’s record to your CRM through a webhook; looking up an order or stock during a call needs a lookup tool a developer sets up. Your team confirms quotes and account-specific information.

### Can it answer outside office hours?

You can place AI answering in your after-hours call route as well as your daytime route. Configure where callers go when they need a person and that person is unavailable, such as a business mailbox. Messages taken after hours are waiting in voicemail when you open.

### Which languages does it speak?

English, Spanish or French, chosen per receptionist, with one voice. It answers as your business and says it is an AI when a caller asks.

### Do I hear about each call?

If you want to: add email addresses to the receptionist and each gets a summary after every call (who called, what they wanted, the outcome). Transcripts can be kept for up to 30 days when you turn them on. Both are off by default. Calls are recorded as audio only when you turn on Keep audio for a receptionist.

### Is this the same as having an AI agent set up Rinzo?

These are separate uses of AI. The AI Receptionist talks to callers. An agent such as Claude Code or Codex can help configure your phone system through the Rinzo CLI when you authorize it.
