## Delegate the configuration, keep the business decisions

An AI agent with terminal access can configure a Rinzo business phone system through the CLI: people and extensions, ring groups, voicemail, greetings, and menus with office hours and holidays. You describe the business setup you want and decide how much of the work to delegate. The [Rinzo agent setup guide](https://rinzo.ai/agents.md) describes that workflow.[5]

That is different from having an AI answer customer conversations. An agent configuring where a call goes is operating the phone system. A greeting recording or a 'press 1' menu does not, by itself, understand a caller's question or book an appointment. This guide covers configuration, not a conversational receptionist.

For the caller's side, Rinzo's [AI receptionist](https://rinzo.ai/ai-receptionist.md) answers callers from your business information, takes messages and puts callers through to your team. An agent can set it up for you with the same CLI.

The useful first job is narrow: take a written call plan, inspect what already exists, then configure and verify authorized changes. Present proposed changes for approval when your requested process calls for it. Avoid starting with 'fix everything.' A phone system already carrying calls needs more care than an empty account.

## Give the agent a brief it can check

Describe the experience you want for callers rather than guessing configuration fields. Include:

- The business time zone, weekly hours, lunch breaks, and actual closure dates.
- The people who should receive calls, and whether they use a desk phone, browser phone, or an existing cell phone.
- Which people ring first, who is the backup, and where unanswered calls go.
- The greeting text and any menu options. Specify what happens when callers press nothing or an invalid key.
- The mailbox owner and who may retrieve messages.
- The public number to use, or the fact that a number still needs to be requested.
- What the agent may change now and what needs a separate approval.

A solo business may only need one number, a greeting, cell forwarding, and business voicemail. A team may need different destinations for sales and existing customers. Choose the smallest useful arrangement. The [routing guide](https://rinzo.ai/docs/call-routing.md) covers the basic building blocks.[1]

A new Rinzo account gets its included number at signup, and support handles requests for more numbers. Outside calls use the plan's included minutes, then prepaid credit. Check the [current setup guide](https://rinzo.ai/docs/getting-started.md) and [pricing](https://rinzo.ai/pricing.md) before asking the agent to make a number live.[3]

## Approve access without handing over your password

Use an agent that can run commands on a computer you control. A chat assistant without a terminal can help draft the brief, but cannot execute the setup described here. Rinzo's documented process installs the CLI and skill when authorized and, when sign-in is needed, asks you to approve it in your browser as the account administrator. You do not give the agent your password.[5]

The CLI's browser-approval flow uses your account's API key and stores it in the operating system's keychain when one is available; otherwise, it uses a file only you can read.[4] The [developer and agent guide](https://rinzo.ai/docs/developers-agents.md) explains sign-in, credential storage, and revocation.[4] Do not treat 'stored in the keychain' as proof that the agent has restricted permissions: an administrator's account API key is powerful. Only approve access from an agent and machine you trust.

Keep card details out of the conversation. Signup and billing belong in Rinzo's hosted signup flow and Control panel, with you completing the payment steps. The agent does not need your card number to configure extensions.[3][5] Do not paste API keys, SIP passwords, or complete credential files into a shared transcript or source repository.

## Choose how independently your agent works

You choose how independently the agent works. It can inspect the account in read-only mode, wait for permission for each change, carry out a whole plan you have approved, or handle the setup under an existing delegation. You can also mix those approaches, such as allowing routine routing edits while reserving number releases for your approval.

The agent should use the authorization you have already given rather than ask for it again. Spending, invitations, destructive changes, and live-number moves follow the scope and limits of that authorization; an unclear or out-of-scope action needs clarification. Broad delegation does not bypass account permissions or make unsupported billing operations available.

Discovery and checks are still part of the work. The [setup recipes](https://rinzo.ai/agents/rinzo/references/recipes.md) start by inspecting the existing account, numbers, and routes so the agent can avoid duplicates.[2] Before moving a live number, it should retain the current destination and know how to restore it if assignment fails.[3] You do not need to paste those operating instructions into every request.

For an auto-attendant, `rinzo auto-attendant create --spec main-number.json --dry-run` checks the proposed configuration before applying it. The spec can use an internal extension for pre-cutover testing; adding `numbers` assigns public numbers immediately.[2] A dry run checks configuration, not the receiving phones or call audio.

## A prompt you can adapt

For example, a workshop owner could ask:

Set up my Rinzo business number for our workshop. We are open Monday–Friday, 9 a.m.–5 p.m. in Vancouver, with lunch from noon to 1. Ring the front desk during open hours. Send unanswered, lunch, and after-hours calls to our business voicemail.

Replace the schedule and destinations with what your business needs. The [Rinzo skill](https://rinzo.ai/agents/rinzo/SKILL.md) supplies the configuration workflow; your prompt does not need to repeat it. The agent can collect missing details, such as the people who answer and your holiday closures.

## Finish with evidence you can use later

Ask the agent to read back what it actually saved and compare it with your brief and authorized changes, or an approved plan when you requested one. Rinzo's `rinzo callflows simulate` command traces the configured route at chosen times, including menu choices, without dialing anyone.[4] Have it check the schedule boundaries and unanswered calls, not just a Tuesday morning when someone answers.

Run authorized real-call checks from outside the receiving ring group, using authorized agent tools where possible. Otherwise, leave a human checklist and mark those checks pending. The checks should cover the public number, audible greetings, each menu choice you use, two-way audio, the final mailbox when nobody accepts, and leaving and retrieving a message. Simulation cannot prove carrier delivery or that a cell phone will behave as expected. The [cell-forwarding guide](https://rinzo.ai/blog/business-phone-number-forward-to-cell-phone.md) covers the acceptance and voicemail checks, and the [hours-routing worksheet](https://rinzo.ai/blog/business-hours-call-routing.md) covers time-based cases. Never test an emergency number; [Rinzo does not support 911 or emergency calling during early access](https://rinzo.ai/emergency-calling.md).

The final handoff should list the number and its route, extensions and destinations, greeting and hours, mailbox access, actual checks performed, and any outstanding work. It should distinguish 'configuration simulated' from 'real call passed.' Keep credentials in their proper store, not in that handoff.

Everything the agent configures remains visible in the Control panel. Rinzo puts people and ring groups in SmartPBX, and agent-built menus, hours, and holidays in Advanced Callflows.[5] Keep that distinction in the handoff so the next administrator edits the right place.

When access is no longer needed, follow the documented revocation procedure: `rinzo logout` removes the key from this computer only; `rinzo auth rotate-key --yes` replaces the account key and invalidates every other copy. Review other tools using that key before rotating it.[4] For a first setup, start with [Rinzo's agent guide](https://rinzo.ai/agents.md) and a brief you would be comfortable giving a human administrator.
