## Start with the caller, not the phone system

You want a business number on your website, but you already have a phone in your pocket. The useful setup is straightforward: a customer calls the business number, hears the right greeting, and reaches you on your existing cell phone. If you cannot answer, the customer leaves a message in a business mailbox rather than your personal one.

The distinction matters. Making a cell phone ring is only one part of the job. A working business line also needs sensible opening hours, an intentional no-answer destination, and a clear way to return messages. This guide is a setup and testing checklist, not a claim that a new business line has already been provisioned or tested for you.

In Rinzo, the documented building blocks are phone numbers, routing, ring groups, and voicemail. You can manage the system in the Control panel or through its CLI and API. The [developer and agent guide](https://rinzo.ai/docs/developers-agents.md) explains those management options.

Forwarding is not the only option. Rinzo's [AI receptionist](https://rinzo.ai/ai-receptionist.md) can answer the business number instead: it answers callers' questions from your business information, takes a message for your business voicemail when you cannot talk, and puts callers through to you when they ask for a person.

## 1. Choose the simplest useful call path

Write down what should happen before changing settings. For a solo business, a useful starting point is:

1. The caller reaches your business number.
2. A short greeting identifies the business.
3. During business hours, your cell phone rings.
4. If you accept, the call connects.
5. If you do not accept, the caller reaches business voicemail.
6. Outside business hours, the caller goes to a closed-hours greeting and voicemail.

That is a design example, not an automatic default. A menu can help when callers genuinely need different destinations, such as sales and existing-customer support. If every choice reaches the same person, consider leaving the menu out. The [Rinzo call-routing guide](https://rinzo.ai/docs/call-routing.md) covers hours, ring groups, and auto-attendant menus.

## 2. Keep the business number separate from its destination

The business number is what you publish. The forwarding destination is the cell phone that receives the call. Keep those two roles clear so changing who answers does not mean changing the number on your website, estimates, and business cards.

Rinzo currently offers US and Canadian numbers during early access. A Rinzo plan includes one number, chosen when you sign up; support handles requests for more numbers, and availability depends on the requested area code. The [phone-number guide](https://rinzo.ai/docs/numbers.md) explains the current process and support-assisted porting.

If you are moving an existing business number, keep the old service active until the port is complete and calls work on the new route. Forwarding an existing number before porting may be an option with your original provider, but check its capabilities and charges first. Never point a number back to itself or create a forwarding loop between services.

## 3. Decide which voicemail should answer

This is the detail to test carefully. Your cell carrier may answer with its own voicemail when you are busy, unavailable, or decline the call. To the upstream phone system, that can look like an answered call even though you never spoke to the caller.

If business messages must stay in the business system, do not rely on a short ring timer alone. Rinzo's [routing and forwarding reference](https://rinzo.ai/agents/rinzo/references/operations.md) documents a ring group containing a cell-phone number, with answer confirmation and a voicemail overflow. The person receiving the call presses 1 to accept, so the carrier mailbox does not accept it as a person.

The same reference distinguishes this from a plain outside-number destination: if that destination is not answered, the route does not automatically continue to voicemail. It also distinguishes an offline-phone failover from a no-answer fallback. Similar-sounding settings are not interchangeable.

Ask for the desired result in plain language: ring this cell phone, connect only when someone accepts, and otherwise use this business mailbox. Then verify that exact behavior with real calls.

## 4. Write a greeting that gives callers a useful next step

Keep the first greeting short. Identify the business and explain only what the caller needs to do next. Here is an example to adapt:

Thanks for calling Cedar Workshop. Please hold while we try the team. If we cannot answer, leave your name, number, and a short message.

For closed hours, give accurate information rather than a promise you cannot consistently keep:

You have reached Cedar Workshop outside our opening hours. Please leave your name, number, and what you need help with. We will review your message when we reopen.

Rinzo supports recorded or uploaded greetings, and its [operations reference](https://rinzo.ai/agents/rinzo/references/operations.md) documents text-to-speech greetings too. Preview a generated recording and listen for business names, abbreviations, and awkward pauses before assigning it to a live route.

A generated voice recording is not a conversational AI receptionist. It says the approved text; it does not, by itself, understand questions, book appointments, or qualify inquiries. Set hours in the intended time zone, and give holidays an explicit destination instead of assuming a weekly schedule covers them.

## 5. Check call costs and how you will return messages

Forwarding is not free with every provider: understand which charges or allowances apply before choosing a plan. In Rinzo, calls forwarded to a cell phone use your plan's included minutes, then the published per-minute rate. Check [current pricing](https://rinzo.ai/pricing.md) and [calling rates](https://rinzo.ai/rates.md) rather than treating forwarding as free.

Also decide how you will return a missed call. Answering a forwarded call on your personal phone does not mean a normal outgoing call from that phone will show your business number. Verify the supported business-calling method and caller ID before telling staff their personal number will stay private on callbacks.

Keep voicemail access limited to the people who need it. If you enable transcripts, check the current charges and message-length limits, and decide where notifications should go. A transcript is a convenience, not a substitute for listening when a detail is unclear.

## 6. Test the calls you are most likely to miss

Use an outside phone to test the real public number. A saved routing diagram or simulation helps inspect configuration, but cannot prove carrier delivery, audible greetings, or a successful conversation.

- **Accepted call:** confirm the greeting, answer confirmation, and audio in both directions.
- **No answer:** leave the cell phone ringing and check the final mailbox.
- **Declined or busy:** reject the call and confirm the caller does not land in personal voicemail.
- **Unavailable phone:** test when the destination cannot be reached, with its owner's permission.
- **Closed hours:** verify the correct greeting, time zone, and business mailbox.
- **Message retrieval:** leave a message and confirm the intended person can retrieve it.

Record the expected and observed result for each case. Change one setting at a time, and retain the previous configuration so you can recover if the new route fails. Never use an emergency number for testing: [Rinzo does not support 911 or emergency calling during early access](https://rinzo.ai/emergency-calling.md).

The goal is not a complicated phone system. It is a predictable experience: the caller knows which business they reached, your existing phone rings when it should, and an unanswered inquiry has somewhere useful to go. Start with the [Rinzo setup guide](https://rinzo.ai/docs/getting-started.md) when you are ready to configure that path.
