## Set the closure and the return together

A useful holiday phone greeting tells callers when you will reopen, whether anyone is checking messages, and what they can do now. The routing needs to match: stop ringing unavailable staff, send messages to a box someone owns, and restore the normal route when you return.

Write the reopening step before recording the greeting. A perfectly clear closure message is still wrong if callers hear it on your first morning back.

In Rinzo, office hours, after-hours handling, and holidays can have different destinations. The [call-routing guide](https://rinzo.ai/docs/call-routing.md) describes those choices. This checklist focuses on a temporary closure; use the [business-hours routing plan](https://rinzo.ai/blog/business-hours-call-routing.md) for the weekly schedule underneath it.

## Write a one-page closure brief

The dates below are a hypothetical office schedule, not a holiday calendar or a recommendation about which days your business should close.

- Business time zone: America/Los_Angeles.
- Last staffed day: Wednesday, November 25, 2026; normal closing time is 5 pm.
- Holiday closure: all day Thursday, November 26, and Friday, November 27.
- Weekend: the usual Saturday and Sunday closed route.
- Return: Monday, November 30, at 9 am Pacific.
- Holiday destination: a closure greeting, then the shared office voicemail box.
- Message owner: the office manager checks the box on the return date; nobody monitors it during the closure.
- Restoration owner: the phone administrator checks the normal route and greeting before staff start work.

For your own brief, add any location or department that keeps different hours. Include every published number affected by the closure. Do not assume a department's direct number follows the main number's schedule.

Rinzo's time routing uses the time zone on the callflow's time-route data, falling back to the account time zone. Check the actual route, not just the time on the administrator's laptop. The [routing reference](https://rinzo.ai/agents/rinzo/references/operations.md) documents that distinction.

## Give callers dates and an honest next step

These original sample scripts are templates. Replace the business name, dates, time zone, and monitoring promise with your own decisions.

### Closed, with messages checked after the break

Thank you for calling Cedar Workshop. Our office is closed Thursday, November 26, and Friday, November 27. We reopen Monday, November 30, at 9 am Pacific. Please leave your name, callback number, and a brief message after the tone. We will begin returning messages when we reopen. This mailbox is not monitored during the closure.

Give a specific response deadline only if the person doing the callbacks can meet it. Asking for a brief reason for calling is usually enough to organize follow-up; avoid inviting sensitive account or payment details into a general mailbox.

### Open for fewer hours

Thank you for calling Cedar Workshop. On Wednesday, November 25, our office closes at noon. If you are calling after noon, please leave your name, callback number, and a brief message. We reopen Monday, November 30, at 9 am Pacific.

A shortened day needs a matching time window. An all-day holiday rule is not a substitute for a noon closing time.

### Closed office, with a staffed service option

Our office is closed until Monday, November 30, at 9 am Pacific. For service being handled by our on-call team during the closure, press 1. For office requests, press 2 to leave a message for our return.

Use that last version only when an on-call person has accepted the shift and the option reaches them. Say what the service covers. Do not describe a general voicemail box as an emergency line. Rinzo does not support 911 or emergency calling during early access.

## Keep the exception separate from the weekly schedule

In the Control panel, find the configuration that already owns the number. Rinzo's guide says that menus and office hours created by an agent with the CLI live in Advanced Callflows; edit them there or ask the agent rather than recreating the main number in SmartPBX.

For the CLI auto-attendant workflow, the [published recipe](https://rinzo.ai/agents/rinzo/references/recipes.md) checks holidays before breaks, then open hours, otherwise closed. A holiday covers the whole day. An explicit date such as `2026-11-26` is a one-time exception; `11-26` repeats annually. Use the dated form when the closure belongs to this year only. A public holiday's observed date may need its own explicit entry.

For the example office, Thursday and Friday get the holiday treatment. Saturday and Sunday keep their normal closed behavior. Monday morning returns to the open schedule. Check the greeting on each branch: the ordinary weekend message must not contradict the holiday reopening date.

If someone forced a holiday rule on for an unexpected closure, a date change alone may not end it. The same recipe documents that a rule's `enabled` setting can force it on or off regardless of time. Include clearing that override in the restoration task.

A short business-goal prompt is enough for an agent already working within your instructions: *Close the office phone route on November 26–27, 2026, Pacific time. Play the holiday message, take office voicemail, and keep the normal route from Monday at 9 am.* Supply your actual dates and destinations. Existing delegation still applies; this is not a reason to grant broader account access.

## Choose the mailbox and the person, not just the greeting

Record which box receives closure messages and who will work through them. Check that the owner can open it and, if voicemail-to-email is enabled, that the notification address is current. Rinzo's [voicemail guide](https://rinzo.ai/docs/voicemail.md) covers boxes, greetings, and email delivery.

If you offer an on-call option, decide what happens when that person cannot answer. Rinzo's routing reference distinguishes a plain outside-number destination, which ends when unanswered, from a ring group with an outside-number member and a voicemail overflow. Use the documented group pattern when you need that fallback; do not assume typing a cell number creates it.

A menu also needs a path for silence and wrong keys. A caller who does not press anything should still reach a useful message or destination. Remove options for departments that nobody is covering, or explain that they take messages until reopening. Keep any callback promise consistent across the menu and mailbox greeting.

## Check the boundaries, then hear the result

Use this acceptance sheet for the example schedule, then substitute your own times. Record the expected greeting and destination alongside the observed result:

- November 25, before and after 5 pm: normal open route, then the ordinary closed route.
- November 26, just before and after midnight: entry into the first holiday date.
- November 27, during normal office hours: still the holiday route, not the weekday ring group.
- November 28, just after midnight: return to the ordinary weekend closed route.
- November 30, immediately before opening, at 9 am, and just after: closed, then the intended open route.
- Every offered menu option, silence, a wrong key, and an unanswered on-call attempt: the planned fallback.

Rinzo's CLI recipe documents inclusive time-window endpoints. Check the exact boundary as well as a time on each side; do not infer the result from a label that says “9 to 5.” Its simulator can inspect routing at chosen times, but it cannot establish audio quality, real ringing, or message delivery.

Within your test-call authority, call from outside the destination group, listen to the complete greeting, and leave a clearly identified test message. Confirm the right person can retrieve it. If live calls are not authorized or a future boundary has only been simulated, mark that check pending. The [call-routing test worksheet](https://rinzo.ai/blog/test-business-call-routing.md) explains the difference between a predicted path and an observed call. No customer call test was performed for this article.

## Put the first morning back on someone's calendar

Assign one person to confirm the normal greeting and route, remove any manual holiday override, and open the closure mailbox. Keep the old route and greeting available until the return check is complete.

Start with your next closure: write its exact dates, time zone, destination, message owner, and reopening check. Then record the greeting from that brief. The caller should hear the same plan your team intends to follow.
