## An extension is an address inside your phone system

A phone extension is a short number used to reach a destination within a business phone system. That destination might be a person, a group, or a menu. It is not necessarily a separate handset, a separate public phone number, or a separate employee.

For example, a workshop could publish one main business number and use extension 201 for Morgan and 202 for bookings. Morgan's extension could ring a desk phone and a browser phone. Bookings could ring several people. Those are different routing choices behind two short dialing addresses, not two identical kinds of equipment.

This guide uses a fictional workshop to explain the parts and help you plan a directory. It is not a configuration record or evidence of completed phone tests. Rinzo's [routing reference [1]](https://rinzo.ai/agents/rinzo/references/operations.md) distinguishes numbers, extensions, users, and ring-group destinations; its [phone guide [2]](https://rinzo.ai/docs/phones.md) explains how several devices can belong to one user.

## Keep the public number, extension, user, and phone separate

Think of the public number as the business's outside entrance. Your call route decides what happens after someone calls it. An extension is a shorter address inside that system. A user represents a person; a device is a phone or calling app associated with that person.

- The public number is what you put on a website or business card.
- The extension identifies a destination in your internal dialing plan.
- The user connects a person's account and calling settings.
- The device is where that person answers or places calls.

In Rinzo, an admin can add more than one device to a user, and calls to that user's extension ring their devices. The browser softphone is another way to call, not another public number to advertise. Those relationships are documented in the [phones and devices guide [2]](https://rinzo.ai/docs/phones.md).

Do not print a device's sign-in name as someone's extension. SIP credentials connect a phone to the service; they are private credentials, not directory information. The same guide says to keep those passwords out of email, chat, and screenshots.[2]

## An extension does not automatically give callers an outside shortcut

A customer cannot assume that dialing 201 on an ordinary outside phone will reach your business. Give them the public number first. Whether they can then enter an extension depends on the route that answers that number.

A menu might invite extension dialing, offer fixed keys, or send the caller somewhere without asking for input. “Press 1 for bookings” is a menu choice; it does not mean the booking team's extension must be 1. In Rinzo, menu keys can route to a user, group, or voicemail box, as the [call-routing guide [3]](https://rinzo.ai/docs/call-routing.md) explains.

Write directory instructions from the caller's point of view. “Call our main number and press 1 for bookings” is useful if that is what the live menu offers. “Call our main number, then enter extension 202 when prompted” is useful only if the menu actually accepts it. Test the published instructions before adding “ext. 202” to a signature.

## A small directory should follow responsibility

Here is a hypothetical directory for Cedar Workshop. The extension choices are examples, not reserved or preconfigured numbers.

- 201: Morgan, the owner. Ring Morgan's work devices, then use Morgan's business voicemail.
- 202: Bookings. Ring the staff responsible for booking requests, then use the booking mailbox.
- 203: Workshop office. Ring the office team, with a named person responsible for messages.

A person extension makes sense when callers need that person. A department extension makes sense when the work should continue whoever is on duty. Do not make customers memorize individual staff extensions to get routine help.

A ring group does not need its own extension if callers reach it only through another route. Rinzo documents ring groups without an extension as routing targets.[1] Keep the directory short enough that you can explain why each entry exists. Before choosing numbers, inspect the existing dialing plan rather than overwriting an extension that already serves another route.

## Decide what happens when the extension is not answered

“Extension 202 rings bookings” is an incomplete plan. Decide how long staff should have to answer, where the call goes next, and who checks the resulting messages. A shared extension with nobody responsible for its mailbox is easy to overlook.

Rinzo's routing guide describes ring groups with a destination for unanswered calls.[3] Its [voicemail guide [4]](https://rinzo.ai/docs/voicemail.md) describes user mailboxes and sending the main number to voicemail. Choose the mailbox deliberately; an extension and a voicemail box have different jobs even when their displayed numbers match.

Forwarding to a personal mobile adds another destination, not a business identity for every call the handset makes. It also needs a deliberate no-answer path. If that is your setup, the [business versus personal voicemail guide](https://rinzo.ai/blog/business-voicemail-vs-personal-voicemail.md) covers keeping messages in the right place. For a department, the [ring-group decision guide](https://rinzo.ai/blog/simultaneous-vs-sequential-ring-groups.md) helps you choose who rings and in what order.

## Test the directory as a colleague and as a customer

Use this acceptance checklist after an authorized setup change. These are suggested checks, not a claim that any call has been made for you.

1. From a work extension that belongs to a different user and is not a member of the group being tested, dial the new extension. Confirm the intended person's devices or department phones ring.
2. From a separate outside phone, call the public number. Follow the exact menu or extension instructions you intend to publish.
3. Let the call go unanswered. Listen to the fallback greeting, leave a labeled test message, and have the responsible person play it back.
4. Check the closed-hours route if it differs. Confirm customers do not hear instructions for an office that is unavailable.
5. Update the directory only after the observed results match the plan. Record who owns the entry and when to review it.

The official [phone [2]](https://rinzo.ai/docs/phones.md), [routing [3]](https://rinzo.ai/docs/call-routing.md), and [voicemail [4]](https://rinzo.ai/docs/voicemail.md) guides recommend extension, incoming-route, and message-playback checks. Use ordinary calls only: [911 and emergency calling are not supported during early access](https://rinzo.ai/emergency-calling.md).

Start with the directory you need today: a destination, an owner, the devices or team that should ring, and a useful unanswered-call route. You can hand that brief to an admin or ask your agent: “Give bookings its own extension, ring our office team during opening hours, and send unanswered calls to the booking mailbox.” An extension is useful when the route behind it is clear.
